Know Your Numbers

Successful storage operators share one trait in common: they track the right metrics. While it is tempting to focus only on occupancy rates, the most profitable facilities monitor a broader set of KPIs that tell the full story of business health.

1. Economic Occupancy Rate

Physical occupancy tells you how many units are rented, but economic occupancy tells you how much of your potential revenue you are actually collecting. This accounts for discounts, concessions, and delinquencies.

Formula: (Actual Revenue / Potential Revenue at Street Rates) x 100

A healthy self-storage facility should target 85-95% economic occupancy. If your physical occupancy is 95% but economic occupancy is 75%, you have a pricing or collections problem.

2. Revenue Per Available Square Foot (RevPASF)

This metric normalizes revenue across different unit sizes and lets you compare performance across facilities. It helps you understand if your unit mix is optimized.

Formula: Total Revenue / Total Rentable Square Footage

Track this monthly and compare to local competitors to make sure your pricing strategy is competitive.

3. Delinquency Rate

Late payments directly impact cash flow and can signal tenant quality issues. Industry best practice is to keep delinquency under 5%.

What to watch: Break down delinquency by 30-day, 60-day, and 90-day buckets. Rising 30-day delinquency is an early warning that collection processes need tightening.

4. Customer Acquisition Cost (CAC)

How much does it cost you to fill a vacant unit? Include marketing spend, move-in specials, and staff time. Understanding CAC helps you evaluate which marketing channels deliver the best return.

5. Length of Stay

Longer tenant stays mean lower turnover costs and more predictable revenue. Track average length of stay and look for patterns. Are certain unit sizes seeing higher churn? Are move-out rates seasonal?
